Living Ethics Project (Annual Review)

The Word of Mouth Marketing Association will host a formal annual review process that will be announced at the beginning of November each year and conclude in February of the immediate following year. This process will include the following:

1. Announcement to our membership concerning the opportunity to submit comments on the current code. This announcement will be sent to the membership via email and posted on our web site.

2. Announcement will be made to non members and consumers concerning the opportunity to submit comments on the current code.

3. Living Ethics Blog will be made live.

4. All comments will be captured and posted on the web site under the Ethics/Living Ethics Project.

5. Several reminders will be sent concerning opportunity to submit comment during this time period.

6. Open session on the Living Ethics Project may be held at the Annual WOMMA Summit Meeting.

7. All comments will then be summarized and provided to the Board to render any decisions.

8. The decision of the Board will then be made public and WOMMA members will be immediately notified. This information will be posted on the WOMMA web site as well as email notification will be sent to the membership.

9. Any members that are unable to comply will resign their membership.

Interim Ethics Code Review Process

Our membership has driven the need to allow for issues to be reviewed as a supplement to the annual Living Ethics Project. As a result, WOMMA will now allow suggested Ethic’s Code revisions to be brought forward to the Executive Director via written request by no less than three members in good standing. The requests must be in writing and submitted to kristen@WOMMA.org. This supplemental process can be done at any time during the year other than during the official annual Living Ethics Project review.

Next Steps:

Once three member requests are confirmed on an issue, the following steps will occur:

1. The Living Ethics Blog will be made live within five business days and an announcement will be made to the membership both via email and on our web site.

2. The comment period would be 30 days. The dates will be announced via email and our web site concerning open comment periods and the topic under review. WOMMA will strongly encourage members, interested parties, and consumers to submit comments on a particular topic.

3. Once the comment period is officially opened, the implementation of that particular issue of the Code will be held in abeyance for a period of sixty days.

4. All of this information will be publicly stated on our web site so the entire process will be clear and transparent.

5. At the conclusion of the comment period, the Board will take all communication/discussion on the topic and render a final and binding decision.

6. The Board’s decision will be announced to the membership via email and web site concerning the item under review.

Once the Board has reached a decision the following will happen:

a. Confirm to all members the change that has been made.

b. 180 day compliance period – there will be clearly delineated dates announced for the compliance period.

c. If unable to comply, the affected member will be asked to resign from WOMMA membership.

Conclusion

WOMMA is striving to ensure that we respond effectively to our members needs and as a result of member comments we are immediately implementing the supplemental review process for the Ethics Code. We want this entire process to be transparent, deliberate, and fair. Should you have questions, please contact at 312-853-4400 or by email at kristen@WOMMA.org.
